AI Estimating & Takeoff Glossary for Contractors

Use this as a working glossary, not a pricing rulebook. A definition can make a team’s discussion clearer, but it cannot replace a current scope review, local supplier input, trade knowledge, or accountable sign-off before a proposal is sent.

Why a shared vocabulary matters

Estimating systems fail less often when the team uses the same words for the same work. A takeoff is not an estimate. A quantity is not a price. An AI-produced first pass is not a reviewed proposal. The terms below help contractors, estimators, and operations teams make those distinctions visible.

A

Addendum

A written change, clarification, or supplement issued during bidding. An addendum can affect drawings, specifications, scope, quantities, timing, or product requirements. Every estimating workflow needs a clear way to record which addenda were reviewed and when they were incorporated.

AI-assisted takeoff

A workflow in which software helps identify, count, organize, or measure items from readable project documents. Treat its output as a reviewable first pass. The estimator still owns source validation, exceptions, scope, revisions, pricing, exclusions, and the final proposal.

Allowance

A stated amount carried for a product, selection, or work item that is not fully defined when the estimate is prepared. An allowance should say what it covers, what assumptions support it, and what happens if the eventual selection differs.

Assembly

A reusable grouping of related labor, material, equipment, and other inputs used to estimate a unit of work. Assemblies can improve consistency, but only if their inputs, productivity assumptions, waste, and scope boundaries are kept current.

B

Baseline project

A completed project the team understands well and uses to test a new process. For AI or digital takeoff evaluation, the baseline should include the source documents, known revisions, final scope, and reviewed estimate so differences can be investigated rather than guessed.

Bid review

The accountable check before a price or proposal goes out. A useful bid review confirms document currency, quantities, scope, cost inputs, allowances, exclusions, risk items, markup logic, and the next step for the client or GC.

Bill of quantities (BOQ)

A structured list of measured work items or materials with quantities. A BOQ may inform an estimate, but it does not automatically include the contractor’s actual labor approach, project conditions, overhead, profit, exclusions, or customer-facing proposal terms.

C

Change order

A documented change to the agreed scope, price, schedule, or terms after the original agreement. The estimating lesson is simple: a clear initial scope and a record of assumptions make later changes easier to identify and explain.

Confidence check

A defined review step used to validate a quantity, scope item, or automated output before relying on it. It may include source traceability, a second reviewer, spot measurement, document-version review, or comparison against a known baseline. It is a team control, not a vendor score.

Contingency

An amount or percentage reserved for defined uncertainty or risk. It should not become a substitute for understanding the scope. Record the reason a contingency exists, who owns it, and what event would cause it to be used or revised.

Cost code

A standardized identifier used to group labor, materials, equipment, or other costs. Consistent cost codes make it easier to compare estimated and actual work, reuse historical information, and identify where assumptions need improvement.

Cost database

A maintained source of unit costs, productivity rates, or historical project inputs. Its value depends on recency, geography, trade fit, job conditions, and the discipline of updating inputs—not on the existence of the database alone.

D

Digital takeoff

The use of calibrated electronic plans, measurement tools, markups, count tools, saved tool sets, or exports to organize quantities. Digital takeoff changes how work is recorded and reviewed; it does not remove the need to set scale correctly, interpret drawings, and validate scope.

Document set

The drawings, specifications, addenda, schedules, notes, and other source materials used for an estimate. A reviewable estimate should make it clear which document set and revision date it relied on.

E

Escalation

An adjustment or planning assumption for expected changes in material, labor, or other costs over time. Escalation should be tied to a stated period and reviewed against current supplier, subcontractor, and market inputs before it is presented as a client-facing number.

Estimate

A cost and scope projection built from quantities plus pricing, labor, equipment, waste, overhead, profit, exclusions, conditions, and risk. A takeoff is one input to an estimate; it is not the whole estimate.

Estimator review

The human decision process that tests whether an estimate is understandable, traceable, scoped correctly, and commercially usable. Software can support this work, but the reviewer remains responsible for the decision to send the proposal.

Exclusion

Work, material, condition, or responsibility intentionally left outside the stated price or scope. Good exclusions are specific enough that a client, GC, or project team can understand what is and is not included.

Existing conditions

The conditions found in an already-built space that can affect scope, access, quantities, sequencing, and risk. For remodelers, existing conditions are often a key reason an estimate needs documented assumptions and an accountable review rather than an automated price alone.

Internal link

M

Manual takeoff

A person-led process of reading source documents, identifying relevant work, measuring or counting quantities, and recording the result. It may be completed on paper, PDFs, spreadsheets, or another tool. The defining feature is that the estimator performs the identification and measurement work directly.

Material takeoff

A list of materials and quantities derived from project documents. It is commonly used to support purchasing, pricing, and proposal development. It still needs a connection to actual scope, waste, labor, availability, and project conditions before it becomes a reliable estimate.

Markup

An amount added to costs to support overhead, profit, and/or defined risk. Teams should be clear about what their markup covers instead of treating it as a catch-all response to missing scope or uncertain inputs.

P

Parametric estimate

An early-stage cost projection based on a parameter such as square footage, unit count, room count, or another measurable driver. It can support early budgeting, but it should be labeled as a planning estimate and updated as the scope becomes defined.

Proposal handoff

The controlled transition from a reviewed estimate into a client- or GC-facing proposal and the next conversation. A strong handoff makes scope, assumptions, alternates, allowances, exclusions, timing, and next steps easier to understand.

Productivity rate

A planned relationship between labor effort and a unit of work, such as labor hours per square foot or per installed item. A productivity rate must fit the trade, crew, access, conditions, and work method being estimated.

Q

Quantity takeoff

The process of measuring or counting the quantities required by the source documents. Quantities may describe materials, fixtures, areas, lengths, volumes, labor units, or work packages. They become useful only when the team can trace and review them.

R

Revision control

The practice of tracking which drawing, specification, note, or addendum version was used and what changed. Without revision control, even a carefully measured takeoff may be tied to obsolete source material.

Risk register

A visible list of uncertain conditions, decisions, gaps, or events that could affect cost, scope, schedule, or margin. For estimating, it helps make questions and assumptions visible before they turn into unnoticed exposure.

S

Scope of work

A description of what will be performed, delivered, included, and excluded. Scope connects quantities and prices to the actual work the contractor intends to complete. Clear scope language is particularly important when source documents are incomplete or selections remain open.

Scope sheet

A working document that organizes included work, allowances, exclusions, assumptions, alternates, open questions, and responsibilities. It can make a takeoff or estimate easier to review and easier to turn into a proposal.

Source package

The collection of documents used to prepare and review an estimate: drawings, specifications, addenda, photos, notes, schedules, site information, supplier input, and prior decisions. The source package should be named and dated so the team can audit what it used.

T

Takeoff audit trail

A record that helps a reviewer understand how a quantity was produced and what assumptions or corrections were made. Depending on the tool, this might include markups, measurement logs, exports, comments, revision notes, screenshots, or a variance log.

U

Unit cost

The cost assigned to one measured unit of work or material, such as a square foot, linear foot, cubic yard, fixture, or labor hour. Unit costs should be reviewed against current conditions rather than copied forward without context.

V

Variance log

A record of material differences between an initial quantity, cost, or assumption and the reviewed result. A variance log is useful when testing a new digital or AI-assisted workflow because it captures what changed and why.

W

Waste factor

An additional quantity included to account for cutting, breakage, handling, or normal material loss. The right factor depends on the material, layout, project conditions, and installation method; it should not be treated as a universal number.

Work package

A defined, manageable portion of work used to organize scope, quantities, cost codes, responsibility, or a subcontractor request. Breaking work into clear packages can make review and handoff more disciplined.

Use the glossary in a real review

A team does not need more jargon for its own sake. Use these terms to make a real decision easier to review.
